Below are commonly asked questions about the Gramm-Leach-Bliley Act training course.

What is the purpose of this training?

The purpose of this training is to educate employees who work with customer financial and credit information on the privacy requirements defined in the Gramm-Leach-Bliley Act of 1999.

Who should complete this training? Can anyone access the training?

The training is required for employees who have access to customer financial and credit information, such as student loans and financial aid data.

When does the training begin? How long do I have to complete the training?

The training is available online beginning June 2, 2008. Current employees must complete the training by June 30, 2008. New employees should complete this training within two weeks of starting their employment.

How long is the training module?

It will take approximately 20 minutes to complete the training materials, including a final assessment quiz and acceptance of the Code of Responsibility for Security and Confidentiality of Data Files statement.

Where do I access the training module?

The training module is available on Carmen, the University’s course management and training system. To access the training, you will need your OSU Internet username (Lastname.#) and associated password. Follow these instructions:
  1. Go to the Carmen login page located at http://carmen.osu.edu
  2. Click on the large login button
  3. Enter your OSU Internet username (Lastname.#) and associated password
  4. Click on the + next to Special, if necessary
  5. Click on the + next to Offices of the CIO, if necessary
  6. Click on the Gramm-Leach-Bliley training link

I tried to access the training module but I could not find it on Carmen?

First, make sure that you clicked on the + next to Special and Offices of the CIO. If you do not see the course listed, you may need to be enrolled in the training module. Contact Holly Ross at ross.507@osu.edu to request that you be given access to the course.

Is there a preferred browser or other system requirements for accessing the training?

Carmen has recommended browsers and system requirements, which can be found at http://telr.osu.edu/carmen/terms/browsers.htm

I took the training in Carmen and accepted the Code of Responsibility for Security and Confidentiality of Data Files at the end of the training. How do I make sure that this was recorded? How do I know that I have completed the training?

The Code of Responsibility for Security and Confidentiality of Data Files is set-up as a quiz within Carmen. You must select the radial button next to “I affirm” and select the “Go to Submit Quiz” button for your acceptance to be recorded. Once you submit the quiz, a screen will confirm that your submission was successful.
To confirm that you successfully submitted the quiz, you will need to:
  • Login to Carmen (http://carmen.osu.edu).
  • Select the Quizzes link in the red Navigation bar.
  • Select the submission view icon next to the Code of Responsibility for Security and Confidentiality of Data Files.

How can I print off the Code of Responsibility for Security and Confidentiality of Data Files?

After you submit your acceptance of the Code of Responsibility for Security and Confidentiality of Data Files, you are immediately brought to the “Quiz Submission View” screen. You can print this screen, which will show the date you submitted the statement and the statement you accepted.
If you have already completed the training and wish to print the statement, then you will need to log into Carmen again.
  • Go to the “Quizzes” link in the navigation bar of the Gramm-Leach-Bliley training course. You will see a list of quizzes, including the Code of Responsibility for Security and Confidentiality of Data Files.
  • Select the Submission View icon next to the Code of Responsibility for Security and Confidentiality of Data Files.
  • Print this page.

My statement printed in landscape. How do I change it to portrait?

Check your Internet browser print settings. Select "portrait" under the page orientation.

Will the date that I accepted the Code of Responsibility for Security and Confidentiality of Data Files appear when I print it out?

Yes. The date will be printed.
