SSN Protection Project: Reports

The Office of the CIO (BuckeyeSecure) and the Offices of Enrollment Service and Undergraduate Education (University Registrar) co-sponsored remediation of three categories of printed reports generated from the student systems: Advising Reports, Transcript Reports, Class Rosters, and Grade Upload. Completion of these initiatives occurred by September 1, 2007.

Advising Reports - June 8, 2007

As of June 8th, the Advising Reports no longer contain the Social Security number. Changes will affect the following reports:

  1. SSN will be removed from Advising Reports (119B401 thru 119B410) and OSU Advising Report (1195201) from grade processing.
  2. SSN will be replaced with the last eleven positions of the lastname.# portion of students’ OSU email address on Post Secondary Enrollment Option Grade Notification (119K601) and Post Secondary Enrollment Option Weekly Notification (119K605).

All other areas of the reports will remain the same. For examples of the changes to the printed reports, please download samples of the impacted reports.

Old Advising Reports that contain the SSN should be properly destroyed. Follow the university’s records retention and disposition schedule, which can be found at: http://library.osu.edu/sites/archives/retention/records.php. Questions about the retention schedule should be directed to the University Archivist at 614-292-2409.

Transcripts & Transcript Reports - June 27, 2007

The next step in the SSN Protection Project is to remove students' Social Security numbers from the printed transcripts. All transcripts requested after June 27, 2007 will completely remove the SSN.

For Students Receiving Transcripts: While it is necessary to request your Social Security number and other identifying information in order to fulfill a transcript request, your Social Security Number will no longer appear on the printed transcript.

In addition, the Transcript Summary Reports (119H501) received within the Office of the University Registrar will replace the Social Security number with the last eleven positions of an individual's lastname.#. Other report changes are listed below:

  1. SSN masked, showing only the last four digits:
    • Program Report Messages (119H301-I01)
    • Purged Transcript Requests (119I801-J03)
  2. SSN removed:
    • Transcript Requests Not Purged (119I801-J01)
    • Transcript System Error Report (119H401-I02)
    • Transcript System Hold Balance Due (119H501-I01)

Point-hour Reports - July 2007

In the next round of remediation efforts, the SSN will be replaced with the last eleven positions of the lastname.# portion of students' email addresses on the printed Point-hour reports (1150702, 703, 704, 705, 706 & 707):

  • Quarter Point-hour Report
  • Cumulative Point-hour Report
  • Standing Based on Quarter and Cumulative Point-hour Ratios

All other areas of these reports will remain the same. For examples of the changes to the printed reports, please download samples of the impacted reports.

Class and Grade Rosters - September 1, 2007

As of September 1, 2007, the class rosters no longer contain students' Social Security numbers when downloaded or printed from the student system. In addition, SSN remediation will address the use of SSN during the grade upload process.

Instructors are encouraged to use Carmen for roster download and grade uploading, which does not require the SSN unless entering an I or EN grade.

In addition, rosters containing the SSN should never be posted in a public space and should be protected. Follow every day best practices.

According to the university records and retention schedule, rosters should be saved for 1 year - please properly destroy any old rosters containing SSN. Be sure to protect electronic files that may contain students' SSN.
